Estimating process

Prime Objectives for Client Satisfaction

  • Scrub plans thoroughly internally to gain extensive comprehension, and again with each subcontractor to create detailed RFI list and VE Options to present to client.

  • Submit comprehensive bid that leaves no holes/gaps in scope to build to plans/specs.

  • By having no holes and a healthy contingency, Change Order’s should be very few and far between, if any at all.

  • Have Price & Schedule that is within client’s budget.

Overview

  • Review project leads with Business Development to understand project scope, timeline and clients’ needs/ wishes.

  • Set up new project on SharePoint under “Estimating” —> “Projects” Folder.

  • Set up new project in CoreCon as Lead.

  • Work with Director of Pre-Construction to develop Subcontractor bid list. Estimator is responsible to understand 100% of the scope, reviewing all bid documents, getting bids from all Owner required vendors/ subcontractors. Director of Pre-Construction is responsible to grow our existing sub database and getting bids for projects.   

  • Send ITB to sub list in CoreCon.

  • Create project Estimate with included scope items, detailed inclusion list with specified material per plans, finish details, fixture model numbers etc. and excluded items) and a CPM schedule provided by Project Manager.

  • Invite Owner to TeamLink.

  • Director of Pre-Con to coordinate subcontractor project walkthrough.

  • Review proposal with Sales/ Biz Dev and Project Management. Biz Dev to submit proposal to client.

  • Once the Estimating/Preconstruction have a signed contract and have completed their tasks, have a Project Transition Meeting to turn over the project to Project Manager

Detailed

  • Use Project Lead wizard in Corecon to set up a Project Lead. Follow Add Lead document step by step to set up the lead.  

  • Create ITB with scope of work, bid due dates, job walkthrough dates etc. in Corecon.

  • Update ITB’s main contact (Estimator & Director of Pre-Con) and bid due date/ time.

  • Link drawings & specs to ITB.

  • Add subs/ vendors to ITB.

  • Email ITB to subs/ vendors.

  • Email addendum information to subs/ vendors.

  • Send out all appropriate bid invitations with plans and scope of work in Corecon.

  • Download and save all proposals in the Estimate subfolder for that Project.

  • Work with Director of Pre-Con to ensure bid coverage in all trades to cover the scope of work we are bidding.

  • Qualify the bids or compare them to other bids to determine the cost and scope of work to be included in the Clients Proposal.

  • Review the complete estimate with Business Development and Project Manager for their approval.

  • Create a detailed Scope of work referencing plans, specs, documents, etc. with detail of what’s Included AND Excluded, (Create Clarifications Statement: Director of Pre-Construction & Estimating)

  • Download final Proposal from Templates page and share with Biz Dev to send it to client. Lock estimate in CoreCon.

  • Assist Biz Dev with any details Client needs to execute the proposal. Upon contract execution, review contract with project management and accounting. Accounting to send deposit invoice to the Client.

  • Handover project to Preconstruction and Project Manager. Handover to include up to date set of drawings (in Corecon), Specs, all bids.
